CLIENT SERVICES SPECIALIST, Part-time, 12-Months

The Southern Illinois Collegiate Common Market has a vacancy for a Part-Time Client Services Specialist/Caseworker located at the East St. Louis Community College Center to conduct Job Skill training and client services within St. Clair and Madison County. Bachelor’s Degree required, preferably in Human Services or Education, with prior experience working with at-risk populations. Strong experience working in Excel and Word needed for day to day tasks. JOB DESCRIPTION:

The Client Services Specialist assists with overall responsibility for day-to-day operation of the assigned grants administered by SICCM.

Organizational Relationship:

The Client Services Specialist reports to the Grants Administrator who reports to the SICCM Executive Director, who reports to the SICCM Board of Directors.

Required:

Position requires 3-5 years’ strong community-based grant administration experience.  Also requires a demonstrated understanding of and commitment to the SICCM mission and philosophy, demonstrated understanding of and commitment to teamwork, process leadership, and consensus decision making, excellent oral and written and communication skills, demonstrated proficiency in organizing and planning.

  1. Provides day to day field support and technical assistance to grant customers.
  2. Researches potential customer work sites.
  3. Conducts job development activities.
  4. Conducts client assessments.
  5. Assists in resolving issues between grant customers, worksites, and/or employers.
  6. Reports any irresolvable issues to the Grants Administrator.
  7. Completes reports, forms, and assists in maintaining databases.
  8. Conducts oneself in a professional manner at all times in the work place.
  9. Performs other duties as assigned by the Grants Administrator.

 

 

Executive Secretary/Bookkeeper – Full Time

The Southern Illinois Collegiate Common Market (SICCM) has a vacancy for a full-time, Executive Secretary/Bookkeeper. This position is an administrative position providing clerical and accounting support. High School diploma and five years of progressively responsible experience performing secretarial and general bookkeeping required.  Proficiency in Excel and Word required.  QuickBooks experience preferred.  Associates degree in a related field preferred.

Job Qualifications:

  • High School Diploma with 5 years of progressively responsible experience performing secretarial and general level bookkeeping work.
  • Requires a demonstrated understanding of and commitment to the SICCM mission and philosophy, demonstrated understanding of and commitment to teamwork, process leadership, and consensus decision making.
  • Knowledge of office practices and procedures.
  • Knowledge of basic bookkeeping and general accounting principles.
  • Interpersonal/human relations skills.
  • Excellent oral, written and communication skills.
  • Detail oriented with a high degree of accuracy.
  • Ability to multitask, prioritize, and organize.
  • Ability to take initiative and follow through with minimal supervision.
  • Ability to work well within a “Teamwork” environment.
  • Professional appearance and attitude; positive, friendly personality.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to maintain confidentiality.
  • Must be able to remain in a stationary position up to 95%.
  • Needs to occasionally move about the inside of the office to access file cabinets, office machinery, supplies, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Occasionally moves supplies/boxes/equipment/etc. weighing up to 50 pounds.

 

Job Description:

  • Answer telephone, lock/unlock doors, pickup/distribute mail, and set up conference room/conference calls for all meetings.
  • Maintain reception area, kitchen, student lounge, board/conference room, office machines.
  • Monitor office/janitorial supplies and replenish as needed.
  • Perform direct clerical/accounting support to the Administrative Staff.
  • Perform all secretarial duties associated with the Allied Health Programs including assisting students, schedule meetings, typing, copying, preparing for accreditation, etc.
  • Record meeting minutes as assigned.
  • Maintain current data entry list of all clinic sites and Memorandum of Understandings for Allied Health Programs.
  • Coordinate New Hire paperwork/forms and maintain employee personnel files.
  • Prepare and submit Payroll Information for Grant and SICCM Hourly employees.
  • Process purchase orders and authorizations for payment to buy equipment, materials, or supplies.
  • Prepare/Submit Monthly Grant Support Services billing/reports and Monthly Miscellaneous Invoices.
  • Tag all new Assets and complete Annual Inventory for general SICCM items.
  • Maintain SICCM Policy Manual.
  • Coordinate equipment/custodial/building/vehicle maintenance.
  • Perform other duties as assigned by the Chief Financial Officer or the Executive Director.
