GRANTS ADMINISTRATOR ASSISTANT (Full-Time)

The Southern Illinois Collegiate Common Market currently has a vacancy for a Full-time Grants Administrator Assistant to conduct job skill training and client services.  Position requires 3-5 years strong community-based grant experience.  A Bachelor’s Degree in Social Services or other Human Service related field is preferred.  Duties involve providing administrative field support and technical assistance to grant customers and conducting weekly case management activities for unemployed individuals in Southern Illinois communities.   Proficiency in Microsoft Excel and Word is required for day to day tasks.

JOB DESCRIPTION

Function:

The Grants Administrator Assistant assists with overall responsibility for day-to day operation of the assigned grants administered by SICCM.

Organizational Relationship:

The Grants Administrator Assistant reports to the Grants Administrator, who reports to the SICCM Executive Director, who reports to the SICCM Board of Directors.

Required:

Position requires 3-5 years strong community-based grant administration experience. Also requires a demonstrated understanding of and commitment to the SICCM mission and philosophy, demonstrated understanding of and commitment to teamwork, process leadership, and consensus decision making, excellent oral and written and communication skills, demonstrated proficiency in organizing and planning.

 Responsibilities:

  • Provides day to day field support and technical assistance to grant customers.
  • Researches potential customer work sites.
  • Conducts job development activities.
  • Researches employment opportunities for grant customers.
  • Conducts client assessments.
  • Assists in resolving issues between grant customers, worksites, and/or employers.
  • Attends required trainings and grant related functions (travel required).
  • Assists Grants Administrator with weekly and monthly reporting activities.
  • Assists Grants Administrator with oversight of part-time grants staff.
  • Reports any irresolvable issues to the Grants Administrator.
  • Conducts oneself in a professional manner at all times in the work place.
  • Performs other duties as assigned by the Grants Administrator.

Responsibilities:

  • Provides administrative field support and technical assistance to grant customers.
  • Researches potential customer work sites.
  • Conducts weekly case management activities for unemployed and underemployed individuals in Southern Illinois communities.
  • Assists in preparing and administering the grant budgets.
  • Approves all budget expenditures for the assigned grants.
  • Prepares reports as required by grants.
  • Maintains all data bases required by grants.
  • Conducts interviews and recommends qualified candidates for grant staff positions.
  • Supervises and evaluates all grant staff including staff located throughout the state.
  • Monitors all vacation, sick and personal leave for grant staff.
  • Leads and motivates all grant staff to maintain and communicate a friendly, courteous, and professional service-oriented, can-do approach.
  • Supervises and coordinates student intern(s), if applicable.
  • Attends all SICCM meetings as assigned.
  • Attends all grant related meetings and conferences including local, state and national. Local travel requirements as well as occasional overnight travel are required as necessary in carrying out the responsibilities of the position.
  • Keeps the Executive Director of SICCM informed of problems, concerns, and issues relative to the grants, its day-to-day operations, and long-term issues.
  • Networks with community and social service based agencies.
  • Assists the Executive Director with the establishment of positive community and public relations.
  • Conducts oneself in a professional manner at all times in the work place.
  • Performs other duties as assigned by the Executive Director of SICCM.
